Fast-paced Spicewood, Texas family law firm has an immediate opening for an experienced Legal Secretary to provide support for a busy owner and attorneys including: answering the phone; interacting and building relationships with clients; receiving and screening visitors; screening and performing initial intake of potential clients; creating, updating, organizing, and closing physical and electronic client files; accepting client payments; interacting with courts, opposing counsel, agencies for scheduling; preparing and sending out invoices; keeping attorney calendars and settings reminders; scheduling calls and meetings with attorneys; drafting retention agreements and preparing initial consultation packets; managing firm and attorney emails, mail, faxes; drafting non-legal correspondence; and general office management duties.
Must possess strong administrative, organizational and interpersonal skills; be highly detail-oriented and organized; able to multi-task; prioritize; and manage technology for the firm. Ideal candidate for this position will have at least 5 years of experience in a support role handling personal and confidential matters and dealing with family law or litigation.
The ideal candidate will have a minimum of 5 years of legal secretarial, executive secretarial or secretarial administrative assistant experience in a family law or litigation firm. The candidate will have excellent people skills and the ability to relate to and connect with clients and staff. Required skills include exceptional proofreading ability, spelling, grammar, punctuation and math. Strongly prefer tech savvy candidate with proficiency with Mac computers, Outlook, Microsoft Word, Microsoft Excel, Form Builder, Bill4Time and Dropbox. The candidate should have the ability to organize and prioritize workload and use his/her own judgment in decision making to adequately and efficiently meet all deadlines. The candidate should have the ability to take initiative in handling projects and anticipating what needs to be done, as well as the ability to understand and follow specific and detailed instructions in oral and written form.
